    Sort Sites by storage, then filter to silence

    Open Sites, sort by storage descending, then filter to no activity in the last year and no owners. Storage is a first-class column next to last activity, so the top of that list is the cleanup budget nobody was tracking - typically a few dozen sites carrying a large share of the whole tenant.

    Read the risk columns before you archive

    The same rows show external users still attached, "anyone" sharing links and sensitive-info counts. A 4 TB archive site with no activity since 2024 and 12 external users is a security fix and a cost fix in one pass - and the sites that still matter are visibly not on the list.

    Stage the cleanup behind a review window

How do we avoid deleting something that matters?

Cleanup is staged, not immediate. Automations propose a per-site action behind a 72-hour review window (configurable all the way to manual approval only), site owners can be routed into the review, and a rejection snoozes the proposal. Every executed action is logged with who approved it and when.

Does this need any special Microsoft licensing?

No. Site discovery, storage, activity and exposure columns work from a standard license - the floor is Microsoft 365 Business Basic. Write actions are a separate, opt-in consent.

Can we prove what the cleanup achieved?
